Oral and Poster Communications Guideline

General Requirements

Please follow the guidelines below when preparing your oral or poster presentation.

  • Title Consistency: You should use the same title submitted with your abstract.
  • Language: All presentations (Oral and Poster) must be prepared and presented in English. Presenters should be fluent enough to engage in highly academic discussions.
  • Attendance: The author must be present at the Oral / Poster communication during the entire session to discuss and answer questions. The presence of the author is crucial for evaluation
  • Schedule: Date, time, and session room for Oral and Poster presentations will be displayed in the Conference Schedule (Link).

Oral Communication Guideline

Preparation and Submission

  • Template: Authors are encouraged to use provided template available on the conference website (Link).
  • Font Type:
    • Choose common and legible fonts such as Arial, or Times New Roman.
    • Avoid using more than two different font types to maintain visual consistency and avoid clutter.
    • Do not use all capital letters for body text, as it can hinder readability.
  • Visual Appeal: Use appropriate colors and layouts to improve readability and attract attention.
  • Graphics: Ensure that graphics are high resolution (at least 300 dpi).
  • Layout and Spacing
    • Organize content in a logical flow with clear sections (e.g., introduction, methods, results, conclusion). This helps viewers navigate your poster easily.
    • Use bullet points instead of full sentences to convey information succinctly.
  • QR Codes for References
    • Use QR codes to link to more than three references or additional resources related to your research
  • Electronic Submission: Prepare an electronic version of your oral communication in PowerPoint.
  • Name your File: When naming your file, use a format like Author Name_Presentation.pptx to facilitate identification.
  • Deadline for Submission: Submit your oral presentation by the specified deadline to avoid losing your presentation slot.

Video Recording Requirement

  • Prepare a video recording of your presentation: Maximum of 7-8 minutes for oral presentations. This recording will serve as an additional resource for evaluation and accessibility.

Evaluation Criteria

  • Adherence to Guidelines: The Oral / Poster Evaluation Committee will assess compliance with these guidelines. Non-compliance may result in disqualification from the competition and removal from proceedings.
  • Content Clarity: Oral / Poster should clearly convey research findings without overwhelming detail. Aim for concise text and effective visuals (graphs, images) to enhance understanding, and include captions for clarity.

Awards and Recognition

  • Awards: The top-ranked communication both oral and Poster will receive certificates of achievement.
  • Eligibility for Awards: Only Oral / Poster communication presented by authors will be considered for awards. Oral or Poster communication displayed without any authors present will not be evaluated.

Additional Considerations

Given that this conference is conducted online, presenters should consider the following:

  • Engagement: Presenters are encouraged to engage with attendees through chat or video calls during designated Q&A sessions following Oral Communications or Poster Communications.
  • Technical Requirements: Ensure a stable internet connection and familiarize yourself with the online platform prior to your presentation to avoid technical difficulties.
  • No Show Policy: Failure to present as required will result in automatic cancellation of participation, affecting future submission opportunities.
  • Committee Restrictions: Members of the Oral or Poster Evaluation Committee cannot evaluate Oral or Poster where they are co-authors.
